Position Summary: The Conference Program Coordinator plays a key role in managing content and speakers for the PRIM&R Annual Conference by providing operational and administrative support to the conference team and planning committees. Working closely with the Conference Program Manager, the Conference Program Coordinator will work with teams of volunteers/subject matter experts in the planning of content, manage content and speaker recruitment, and assist in building/maintaining the conference’s attendee event platform.
What you’ll do:
Support the Conference Program Manager in all communication efforts to direct volunteers, speakers, and participants to complete projects and assignments by specific deadlines as required.
Support the Conference Program Manager in administering the Planning Committees to develop program content, including scheduling calls, taking notes on planning calls, and updating committee documents/project management software.
Lead the creation and maintenance of the attendee event platform, and assist with the maintenance of the conference agenda.
Oversee and lead the Poster Presentation Program, including compiling abstracts, working with the Poster Abstract Review committee, and communicating with poster authors.
Oversee and manage the conference Call for Session Proposal programs (e.g., draft web pages and submissions forms, manage/compile responses, etc.)
Schedule and execute rehearsals of live events to ensure all parties are prepared for success.
Assist with speaker/session recordings.
Work on-site at conferences, answering questions & troubleshooting technical issues.
Act as a member of the organization’s customer service team (e.g., answer phones, process registrations, etc.)
What we’re looking for:
2-3 years’ office and program planning/coordination or project management experience. Customer support experience preferred.
Excellent communication, writing, and customer service skills, with the ability to communicate effectively with diverse constituencies across the organization and externally.
Experience with the following software (or similar products) is preferred: Microsoft Office; Fonteva; Cadmium; Survey Gizmo; Google Docs; Basecamp; Zoom Meeting; and Airtable.
Effective organization skills, with the ability to multi-task and effectively manage projects and competing deadlines.
Ability to proactively anticipate tasks/steps and work independently of supervisor.
Skilled attention to detail and accuracy.
Ability to lift up to 20 pounds.
Relationships:
Internal: The Conference Program Coordinator will work with other PRIM&R departments to ensure proper execution of the conference and so, this individual must be a collaborative team player.
External: Works closely with teams of volunteers/subject matter experts from the research ethics and oversight community, academic institutions, pharmaceutical companies, nonprofits, and more.
