Grants Manager
Job Summary
Assist faculty in preparing and assembling grants proposals/contracts in compliance with sponsor, University, and federal guidelines and deadlines. Interact with other departments and agencies to facilitate the development, submission, and administration of grant proposals. Independently manage budget responsibilities for grants. Monitor terms and agreements of grant awards for compliance.
Responsibilities
- Under moderate supervision, the grants manager will perform the following functions:
- Assist Research Administrative Officer and Faculty in preparing and assembling grants proposals/contracts in compliance with sponsor, University, and federal guidelines and deadlines.Assist Research Administrative Officer and PI in determining requirements, deadlines and time management for responses to PAs/RFAs or general application submissions in a proactive manner. Coordinate multiple applications under absolute deadlines.
- Work in a collaborative manner with the Research Administrative Officer and Principal Investigator and the Office of Research, throughout the application process to achieve a professional document for submission.
- Responsible for obtaining appropriate signatures for Conflict of Interest Forms and Transmittal Forms from PI, Key Personnel and other departments concerned and forward to AO/financial manager for review and department signature.
- Interact with other departments and agencies to facilitate the development, submission, and administration of grant proposals.
- Responsible for tracking and receiving back confirmation of submitted application from Grants & Contracts.
- Provide outside departments with biosketches, other support and ancillary data as requested.
- Assist Research Administrative Officer getting eSNAP report (with signed transmittal, COI's and budget form) to Grants & Contracts for review and final submission.
- Works in conjunction with AO/financial manager on new, competing or revised grant applications in preparing initial and extended budgets, including Indirect cost calculation.
- Reviews budget details with Research Administrative Officer, including: personnel, effort allocated and overall expenses, ensuring consistency with DOF criteria.
- Review monthly ledgers (expense monitoring and reconciliation for research and clinical centers)
- Prepares journal entries and deposits as necessary.
- Prepares and submit 1275 budgets to AO/financial manager and the Department of Finance.
- Assist the Research Administrative Officer in submitting the progress reports to the PI detailing personnel, effort allocation and overall expenses.
- Serves as a resource for the department or division.
- Keeps abreast of new/updated agency policies, procedures, deadlines and timeframes of new initiatives by working closely with AO/financial manager.
- Attends all training offered by the Office of Research as well as reading online/published materials (i.e.: NCURA newsletter, NIH online updates).
- Keeps AO/financial manager and PIs informed of any material changes.
- Provide PI information on obtaining forms for submitting: New Animal or IRB protocol requests (NOI), Annual Surveillance Forms, Salary only approvals, etc.
- Monitor terms and agreements of grant awards for compliance.
- Assist Research Administrative Officer and PI with eSNAP submission procedures ensuring accuracy of all reporting information.
- Monthly review of all active protocols ensure all are current with institutional offices.
Department/Unit Summary:
The division of pediatric infectious diseases features nationally and internationally-recognized leaders in vaccine development and vaccine safety, bacterial infections such as pertussis and staphylococcus aureus, viral infections such as influenza and coronaviruses (e.g. SARS), pediatric HIV/AIDS, global health, antimicrobial stewardship, and the care of children with compromised immune systems.

Key Functions and Responsibilities:
- Responsible for researching, analyzing, preparing, and reconciling data for Center and Division grants budgets in compliance with sponsor, University, and federal guidelines and deadlines
- Partners with division administrator to resolve budgetary issues
- Creates unique and often complex reports; make projections and recommendations using historical data and applicable guidelines
- Serves as a resource to faculty on matters related to their financial projections
- Prepares monthly, quarterly and annual financial reports for various business units
- Serves as a resource for Division staff and faculty in facilitating various requisitions
- Responsible for entering encumbrances into tracking system and reconciling with actual expenditures
- Prepares journal entries for division administrators' approval
- Maintains files for requisitions, general ledger reports and other various financial and grant documentation
- Prepares center request forms and other general ledger maintenance requirements
- Prepares various payroll forms (electronically and paper) for approval and helps maintain confidential payroll documentation
- Assists in tracking department resources and facilities
- Supports division administrators and leadership with special projects as needed
- Other responsibilities as assigned
Position Qualifications:
- Bachelors Diploma (or equivalent experience) and 3 years relevant experience
** Preferred skills and experience: self-motivated work ethic, strong computer skills (e.g., Microsoft Word, Excel, PowerPoint), and excellent time management, communication, and interpersonal skills. **
